Polite Candidate Rejection and Advancement Emails

Write clear, respectful hiring emails for application receipt, assessment invitations, rejection, and interviews, with reusable templates.

Polite candidate rejection and advancement emails

Candidate emails should answer three questions quickly: Who is writing? Which role is this about? What happens next? A polite rejection is direct and appreciative without implying that a decision is reversible. An advancement email gives a concrete action, a deadline or expected timing, and enough context to prepare. Every message should use the recruiter's organization and role name rather than a generic automation brand.

Automated delivery helps when a team has many applicants, but automation does not excuse confusing states. Do not say “you have been selected” if you mean “you have been invited to a short assessment.” Do not tell someone their work was evaluated if processing failed. Keep score details internal unless your process explicitly includes feedback and a reviewer can stand behind it.

Four moments that deserve a message

Moment Candidate needs to know Avoid
Application received The role, organization, receipt, and broad next-step timing A fake success page when no record was created
Assessment invitation Why they are receiving it, time budget, due date, private link, tool policy Vague “next round” with no instructions
Rejection The role has closed for them, thanks, respectful sign-off Defensiveness or unsupported judgments
Interview invitation Public booking URL, expected duration, interviewer, preparation, contact route “Your interview is scheduled” before the candidate picks a slot

If a duplicate same-email application is not accepted, say exactly that: an application already exists and no new record was created. If an email cannot be sent, leave an operational failure visible to the recruiter and retry the delivery; never count a queued email as received.

Application receipt template

Subject: We received your application for [role] at [organization]

Hi [first name],\ Thanks for applying for the [role] position at [organization]. We have received your application and will review it against the role requirements.\ If we would like to continue, we will send the next step to this email address. You do not need to submit another application.\ Best,\ [recruiter name] · [organization]

Only send this after a real application record is created. Avoid promising a review date you cannot meet. If the team has a reliable service target, add it.

Assessment invitation template

Subject: Next step for your [role] application at [organization]

Hi [first name],\ Thank you for your interest in [organization]. We'd like to learn more about how you approach work related to the [role] position.\ Please complete this short exercise: [private link]. It should take about [time] and is due [date and timezone]. You may use [tools policy]. The brief explains what to submit and how we will review it.\ If you need an accommodation or have a question about the brief, reply to this email.\ Best,\ [recruiter name] · [organization]

Check that the time estimate is realistic. The take-home assignment guide shows how to write a self-contained brief. Private assessment links belong in the candidate's email, not in public job posts.

Rejection template after an application

Subject: Update on your [role] application at [organization]

Hi [first name],\ Thank you for taking the time to apply for the [role] position at [organization]. After reviewing applications against what this role currently needs, we will not be moving yours forward.\ We appreciate your interest and the work you shared. We wish you well in your search.\ Best,\ [recruiter name] · [organization]

Do not say “we'll keep your résumé on file” unless you actually do so under a disclosed retention policy. Avoid “you are not a fit” or detailed claims about someone's ability when the evidence only supports a decision for this opening. If you have made a material change to the role, acknowledge the change rather than pretending the original requirements were used.

Rejection template after an assessment

Hi [first name],\ Thank you for completing the [role] exercise for [organization]. We appreciate the time you put into it. After reviewing the submissions against the exercise criteria, we have decided not to move forward to interviews for this role.\ We know that is disappointing news. Thank you again for your interest and effort.\ Best,\ [recruiter name] · [organization]

If you offer feedback, make it specific, accurate, and consistent with your policy. Do not generate flattering generic feedback that contradicts the decision. A human should approve any personalized assessment feedback before it goes out.

Interview invitation template

Hi [first name],\ We'd like to meet you about the [role] position at [organization]. Please choose a convenient [duration]-minute time on this booking page: [public booking URL]. The booking provider will confirm the date, time, timezone, and meeting details after you select a slot.\ We'll discuss your application and exercise, including how you approached [specific topic]. If the link does not work or you need an accommodation, reply here.\ Best,\ [recruiter name] · [organization]

Check that the booking URL is live and the invitation email was delivered. Badal’s interview_invited stage does not confirm that a meeting was booked. See interview booking links.

Badal implementation notes

Badal uses the candidate-facing organization, recruiter, and role details entered on the campaign when sending next-step messages. The current product can send receipt and stage emails through its configured sender. Background jobs and delivery failures remain visible in the recruiter workspace for review and retry. The recruiter controls the final keep or reject decision. Check Badal's candidate journey for current behavior and test a synthetic application before launching a large campaign.

Agent-ready instruction

Draft candidate emails for this role using [organization], [recruiter name], and [role]. Keep receipt, assessment invitation, decline, and interview messages distinct. Verify the candidate's actual stage and the delivery result before describing an action as complete. Do not include private reports, API keys, or internal rubric notes. Ask me before sending individualized feedback or recording a final keep/reject decision.

The best template is one that still reads truthfully when a busy recruiter sends it on a difficult day.

Frequently asked questions

Should a rejection email include the AI score?

Usually the score is an internal summary of evidence under one rubric version, not a complete explanation. If you choose to share feedback, have a person verify the underlying material and communicate the actual role-related reason in plain language.

What if an email job is pending or failed?

Do not describe the message as delivered. Inspect the job, retry when appropriate, and use a manual contact path if the issue persists. A candidate should not be left waiting because the dashboard displayed a stage change while delivery failed.

Put the guide to work
